From idea to reality

Have you received positive feedback from the board and the Swedish Board of Agriculture? Congratulations, then you can just get started!

You will have support from the office throughout the project period. For example, we will offer training at the start of the project, hold follow-up meetings and support you when applying for payment.

Some advice along the way

Read the start message carefully

From experience, we know that you want to get started quickly, but also that it makes it easier if you do it right from the start.

Therefore, read through your initial statement carefully and consider which questions should be answered in the final report now. This way, you will know what will eventually need to be reported back.

Observe EU information requirements

All projects that receive support through us must show this by using the EU logo and the Leader Eastern Skåne logo. Please note that the Swedish Board of Agriculture may deduct or reclaim the support if the recipient does not meet the information requirements.

The logos should be included in documents and printed materials such as brochures, newsletters, signage, advertisements and films.

The logos should also be on the websites and social media that contain information about the project. There should also be a short description of the project, information about its purpose and results, a link to the Leader Eastern Skåne website and information that the money partly comes from the EU.

Report working hours

To report working hours in the project, please use the Swedish Board of Agriculture's form. ”Project diary”.

Report non-profit efforts

All Leader projects require co-financing in the form of non-profit contributions, which can be both non-profit work and non-profit resources.

Non-profit work is reported in project diaries with time reporting or with participant lists. Templates are provided by the Leader office.

Non-profit resources are reported through, for example, a list of gifts, driving records, and valuation certificates.

Travel reimbursement

To report travel expenses by car within the project, you use: Swedish Board of Agriculture form.

When purchasing used equipment

To certify that the used equipment or recycled material you have purchased in the project was not purchased with support from public funds by the previous owner, you use: Swedish Board of Agriculture form.

Apply for an advance

It is possible to apply for an advance as soon as you have received the formal decision from the Swedish Board of Agriculture - this applies to everyone except municipalities and authorities.

In the decision you can see how much support you can get from the Swedish Board of Agriculture, the project support part. This is the amount that forms the basis for what you can get in advance. You can apply for up to 50 % of the project support part in advance, but a maximum of 250,000 SEK.

Remember to report expenses for the advance payment as well, as it is part of your granted support. You report these expenses when you apply for partial and final payments.

Apply for partial payment

When costs have arisen in the project, an application for partial payment can be made to the Swedish Board of Agriculture. This is advantageously done regularly during the course of the project. Always contact the office before making an application for partial payment!

The office is happy to help and answer questions or hold a working meeting and go through the application for partial payment with you.

Be careful with payment receipts

In addition to invoice copies, you also need proof of payment showing that the payments have been made. You can download a proof of payment from the internet bank, often by clicking on “Historical payments” or similar. The proof of payment should state the following:

  • Payment date
  • Amount paid
  • Sender (which account the money was deducted from)
  • Recipient (that the payment went to the same Plusgiro, Bankgiro or account number that is on the invoice)
  • That the payment has been completed. “Immediate payment” is not considered a completed payment.
Avoid deductions

Read the decision carefully. Follow the conditions, the decided project plan and budget. If you deviate from the project plan and your decision, you risk not receiving the money you have applied for. Only the expenses stated in the decision give you the right to support.

Be careful with the logos. Make sure that the correct logos are included on all materials. Failure to do so may result in deductions. We can advise you if you are unsure.

Don't forget to itemize the project's expenses. To avoid deductions, you should be able to produce a report from your accounting that only includes the expenses that belong to the project.

When things don't go as planned

During the implementation of the project, it is important to work according to your project plan and follow your decision on support. Since the decision is based on the application with project plan and budget, deviations from these must be notified to and approved by the office before the change can be implemented. Otherwise, there is a risk that the support cannot be paid out.

Please contact us at the office if anything is not going as planned in the project. Likewise if you need more time to complete the project. It is important that this contact takes place before you make any changes.

In the event of changes that have been notified and approved by the office, you must submit a form to the Swedish Board of Agriculture.
